Job Description

Purpose
• To work as part of the finance team assisting to ensure the academy meets its educational needs through excellent and
robust financial and business functions.
• To take responsibility for development and organisation of financial processes within the school to benefit student
learning and teacher efficiency.
• To keep abreast of developments in your key areas, to think creatively and constructively to ensure that the job is done
in the most effective and time efficient way.
• To promote the highest standards of business ethos within the administrative function of the school and ensure the
most effective use of resources in support of the school’s learning objectives.
• To actively model and promote the values and ethos of the school.
• To contribute to the overall management and direction of the school’s finance and business functions.

General Duties
To work within the strategic direction set by the Finance Manager/Finance Director for the day-to-day financial management
of the Trust – specifically:
• Contributing to the operation of the financial management service.
• Finding efficient solutions to delegated aspects of the financial management processes.
• Achieving cost effectiveness efficiency through the use of alternative processes or technology.
• To maintain up to date accounting records and information, as required, in order to enable financial control and
effective decision making.

To be accountable for your area of the financial management processes within the school – specifically:
• Providing a professional efficient and cost-effective financial management service, with a ‘right first-time mentality’ and
minimal errors.
• Bring about, monitor and evaluate a finance culture that will bring positive benefits to student learning.
• Create, maintain and facilitate effective relationships.
• Be responsible for your own professional development and accountability through the school’s performance
management system.

Specific Responsibilities
Purchasing:
• To place all Purchase Orders on the finance system, ensuring best value and economies of scale, along with a clear audit
trail of approval of expenditure and within budget allocations.
• Post all Purchase Invoices on the finance system, seeking authorisation of invoices as relevant.
• Make online purchases with the credit card as required; ensuring adherence to financial procedures.
• Additional specific responsibilities to be agreed depending on skills and interests.
Sales Invoicing:
• To raise sales invoices on the finance system as directed.
• To chase any aged debt after consultation.
Cash Collections:
• To count any cash received into the finance office.
• To assist with the banking of cash received as required.
Credit Cards / GPC Cards:
• To post expenditure from credit cards / GPC cards onto the finance system.
• To reconcile individual card holders’ accounts on a monthly basis.
Recharging:
• To assist the with the running of the whole school stationery cupboard.
General:
• To administer Parent Pay software as required.
• Monitor several inboxes and respond to queries.
• Monthly bank reconciliations.
• Raise weekly payment runs.
• Carry out financial checks and set up new suppliers.
• Raise monthly budget reports and send to all budget holders.
• Administer termly free school meal vouchers.
• To work closely with other Team Members to ensure continued service delivery during staff absence.
• To provide assistance to the Finance Team in various tasks as delegated.
• To maintain physical financial records for management, control, and audit purposes.

Duties are subject to change and require finance staff to support each other. Additional specific responsibilities to be agreed as
and when needed.
